How to Verify Client Contact Information

Modified on Wed, 03 Jul 2019 at 03:47 PM

Your clients are the life blood of the salon, and being able to contact them quickly and easily is important to any business.  With the salon industry returning clients may have changed their address, cell phone, or email without mentioning it to your employees.  SalonTouch can have a pop-up reminder appear to the employee when checking in a client to help gather correct contact information that can then be used for marketing purposes such as Constant Contact, Textmunication, or Demandforce.

When the client arrives at the salon the employee will have access to a pop-up window where they can update the client's contact information.  It is a visible reminder to ask the client to update the contact information.  They can edit the information on screen and simply click OK.  No need to open the client's profile.

You can setup the client's verification notifications by following the steps below.

SalonTouch 10

  1. Click on Setup.
  2. Click on Options
  3. In the Client Options section, scroll down to the When Selecting clients automatically... option.

These have various options for the verification process.  By default it is set to not ask to verify client information.

You can have it ask to verify the information a single time by selecting Ask to verify but don't automatically create a new "next verify" date.  This means the client will be asked to verify their contact information 1 time and will not be asked again.

The option Ask to verify and automatically create a new "next verify" date for the following number of days later

You can also have it set a date based on certain criteria as shown below:

Based on Last Visit will allow you to set the next verification date a certain number of days after their last visit.  This way seasonal clients can have their information verified, but regular client are not asked too often.  The example below shows where we are verifying clients 180 days after their last visit.

The other options mark a client as needing to be verified if they do not have that information associated with their client profile.  All clients that are missing the required information will now have a pop-up asking the employee to verify their contact information before working with the client.

After you have set the verification criteria click save and then cancel to exit that window.
